You should not enter the names of guests, tenants, employees or other individuals unless this is genuinely necessary.
Where an assessment asks about people who may require additional assistance, you should normally describe their needs in general terms and avoid entering names, medical diagnoses or unnecessary health information.
To help you enter a property address, the address field uses a postcode and address lookup service provided by Ideal Postcodes. The characters you type into that field are sent to Ideal Postcodes so it can suggest matching addresses. Ideal Postcodes uses licensed Royal Mail address data and processes this information in the United Kingdom.
The information you enter into an online assessment is used to:
So that you can start an assessment and come back to it later, for example if you need to check details at the property, your answers are stored securely while the assessment is in progress. You can return to an unfinished assessment using a secure link we send to your email address, on any device.
Your assessment answers, and any plan or photograph you upload, are kept for no longer than 30 days from the last time you saved. If you have not completed the assessment within that time, they are automatically and permanently deleted.
Once your report has been generated and made available to download, the assessment answers, property information and any uploaded plan or photograph are deleted from the assessment system. TSP Safety does not keep a copy of your completed assessment.
You are responsible for downloading the completed PDF and keeping it securely. Because we do not keep a copy, TSP Safety will not normally be able to retrieve, replace or recreate the assessment content after it has been deleted. If you return after your answers have been deleted, your purchase still stands and you can complete the assessment again at no further charge.
A fire or health and safety risk assessment should be reviewed regularly. So that we can remind you when a review is due, after you have completed an assessment we keep a limited record consisting of your email address, the property name and the review date. We do not keep your answers or your report for this purpose.
We send this reminder because you have purchased an assessment from us. You can opt out of these reminders at any time using the unsubscribe link in the email, or by contacting us, and we will stop sending them.
We may still retain the limited purchase and transaction information described in this notice for our legal, tax and accounting obligations. This is separate from the contents of the assessment.

We retain different types of information for different periods.
Assessment answers, property information and the generated assessment are removed after the PDF has been generated.
TSP Safety does not retain a copy of the completed assessment.
We normally retain enquiry and correspondence records for up to 12 months after the last contact, unless there is a reason to retain them for longer.
We normally retain client correspondence, contracts, reports and consultancy records for the duration of the work and for up to six years afterwards.
